Welcome to Lextree for Healthcare Compliance, where you can manage nursing home inspection surveys, deficiencies, and plans of correction. We will go through the steps to add your first survey.
The Surveys page gives you access to the all the Surveys from the Groups to which an administrator assigned you. To see the Survey click on its name: the blue link. To see the Facility details, click the Facility name in blue.
To access survey details, click the name of the survey on the Surveys page. The survey name is the blue link.
Users who are Editors or Managers can edit Surveys, but selecting the survey name with a pencil icon. This will display the Edit Survey form.
To add a document to the survey, navigate to the survey details page. Under Document Title, select the add document link. This will bring you to the Add Document form.
To add a Deficiency to a survey, select the +Add Deficiency button on the survey details page. This button will display the Add Deficiency form.
Once you select +Add Survey Task on the Survey details page, Lextree displays the Add Survey Task form.Task Library
Select the View Survey Comments button the Survey Details page to see all of the comments on the Survey. Lextree displays comments in a reverse chronological timeline. Simply scroll down to see older comments.
To assign responsibility for draft the Plan of Correction, select the assign link for the Deficiency you want to assign. Lextree will allow you to assign the POC as a task to another user.
To draft the Plan of Correction for a Deficiency from the Survey Details page, select the draft POC link for that Deficiency. Lextree will display the Draft Plan of Correction page.
To edit a deficiency, select the pencil icon in the right hand column of deficiencies. Lextree will display the Edit Deficiency page. If the Plan of Correction exists, it will display. Otherwise, it will be hidden.
On the Facilities page, you can access specific Facilities. Access to Facilities is controlled in Admin > Organization and Facilities.
On the Facility Details page, you can view information about the Facility and its Surveys.
The Task menu gives you access to several functions. There are three menus under Tasks in the menubar.
View all tasks assigned to you by other users or yourself. Tasks are categorized as Open, In Progress, Declined, Completed, and Cancelled.
The Requested by Me page displays tasks which you have assigned to other users or to yourself. You can cancel a task which you initiated by selecting cancel.
The Group Tasks page displays all the tasks for the logged in user's groups. It is available to users with the Manager role.
When you select start from the Assigned to Me page, Lextree will display the appropriate page to complete the task: Draft POC, Comment on Survey, Upload Document, or Other.
You may decline a task from the Start and Complete Task page. Lextree will prompt the user for an explanation. The requestor will receive notification of the declined task.
There are many reports available in Lextree under the Reports menu. Each report type comes with several options.
A Library in Lextree is a collection of data that users can copy to perform a variety of functions in Lextree. Libraries improve efficiency and quality by providing more consistent information. There are several libraries in Lextree.
The Authorities library allows you to maintain a list of Survey Authorities or government agencies which routine review your facilities. You can also add independent contractors and consultants who perform reviews on your behalf to the list.
Select Submit to save the Authority to the list.
The Buildings library allows you to maintain a list of buildings associated with your facilties which are surveyed separately. This allows for more granular reports and analysis. Select Add Building to enter information about the building.
The Document Types library allows you to categorize documents for more meaningful analysis and reporting. Select Submit to save the Document Type.
The Keywords library allows you to create semi-structured data that users can choose to apply to Facilities, Surveys, and Documents.
The Plan of Correction Library allows you to develop POC templates that users can select when they draft a Plan of Correction for a Deficiency. POCs in the library are tied to specific F-Tags. Select Add Plan of Correction to Library to create a new POC template.
The Survey Types library allows you to further classify surveys beyond Fire and Health, which Lextree already includes.
The Admin (Administration) menu gives you access to important settings for Lextree. Only user with the Administrator role can access the the Admin menu options.
Organization and Facilities allows you to manage the parent organization for your Facilities. It is also where you can add additional Facilities to your subscription
Admin users may review, add and update groups at Admin > Groups. Groups are assigned to both user accounts and survey records to determine which users can access which records. Only user accounts assigned to the Editor or Reader roles have access to survey records and may be assigned to groups. For example, users assigned to "Group A" will have access to all surveys assigned to "Group A".
To manage users in your organization, navigate to Admin > Users. This page displays all users in your orgnization. You can add new users by selecting the Add User button. There are several important elements of each user's profile.
Recipients receive Lextree alerts. They do not have access to Lextree unless they are also a user. All users are recipients, but not all recipients are users.
Orders is where you can track all your subscriptions and purchases, including the annual base subscription and access to additional facilities. Licensing is subscription based with unlimited users.
My Account displays who the Lextree administrator is in your organization. It is also where you can change your password and email address.
